Request and approve leave

Ask for a day or half a day off, and approve or reject requests, on the web or in the desktop app.

Staff request leave against one of your organisation's leave policies. Jasper works out how many working days the request uses, sends it to an approver, and tells the person the outcome. Leave sits inside time tracking: you see it only when your organisation has time tracking turned on, which is on team plans.

Where to find leave

On the web, open the Time menu and choose Time Off Hub. Its tabs are Overview, Requests, Timeline and Balance. People who manage leave (owners and admins by default) also see Policies, Groups, Holidays and Settings. In the desktop app, open Time and then the Leave tab.

Request leave on the web

  1. Open the Time Off Hub and go to Requests.
  2. Click Request Time Off.
  3. Choose the Time Off Policy, for example annual leave.
  4. Pick the Start Date and End Date.
  5. For a half day, set Start Time or End Time to Morning (AM) or Afternoon (PM). Leave them on Full Day otherwise.
  6. Add a Reason (Optional) and click Submit Request.

Jasper counts only your working days, leaving out public holidays that apply to you. A half day counts as half a day. The request list shows the working days, and the request itself shows the hours too.

Request leave in the desktop app

  1. Open Time, then Leave. Your balances show at the top.
  2. Click Request leave.
  3. Choose the Leave type, the Start date and End date, and set Start or End to a morning or afternoon for a half day.
  4. Check the number of days shown, add a Note (optional), and click Submit request.

Cancel a request

In the Requests list, click Cancel next to the request, or open it and click Cancel Request, then confirm. In the desktop app, click Cancel on the request. You can cancel your own request while it is pending or after it is approved, including leave whose dates have passed, for example a sick day you didn't need. Only the person who asked for the leave can cancel it.

Approve or reject a request

  1. On the web, open the Time Off Hub. Requests waiting for you are under Pending Approvals; click Review. You can also use Approve and Reject in the Requests list.
  2. To approve, write the Approval Notes and confirm. To reject, write the Rejection Reason. A note is required either way. The person sees a rejection reason in their notification and in the desktop app, and an approval note on the request page on the web.

In the desktop app, requests for you sit under Waiting for your approval on the Leave tab. Approving needs an approval note, and rejecting needs a reason.

Who approves

A request goes to the first of these that applies:

  • The person's manager: owners set it in the Reports to column under Settings, Team Members.
  • A group: an owner or admin picks it in the Time Off Hub under Settings, with Leave Request Notifications. Every member is asked. Create groups under Settings, Team Members, Manage Groups.
  • All admins (default): your organisation's owners and admins.

One approver's decision settles the request, and an owner or admin can decide any request outright. A manager can decide for their own reports; anyone else needs permission to approve leave, which stakeholders, admins and owners have by default.

Notifications

  • When someone submits a request, the first approver gets a notification in Jasper and, by default, an email.
  • If a request is still pending after 48 hours, every approver gets a reminder.
  • The person who asked is told when their request is approved or rejected. A rejection includes the reason.
  • To post approved leave to a Slack channel, turn on Announce Approved Time Off to Slack in the Time Off Hub Settings and paste the channel's incoming-webhook URL.

Limits

  • Leave appears only when time tracking is on for your organisation.
  • Half-day requests are always allowed, whatever a policy or leave type says.
  • Jasper doesn't stop two requests that overlap. Check the team timeline first.
  • Cancelling approved leave doesn't remove time entries Jasper already made for it, and you can't delete them by hand because Jasper saves them as approved.
