Calendar
A calendar in the desktop app, and work schedules for your team on the web.
Jasper has two calendar features. The desktop calendar shows a connected calendar next to your mail and chat. The web Team Calendar holds the work schedules managers enter for their team. Read the limits first: connecting a calendar from outside Shakewell isn't possible yet.
Which calendars can be connected
The desktop calendar connects to Google calendars on Shakewell's own Google Workspace, to Shakewell's own mail server and, where your organisation has switched it on, to Microsoft 365 and Outlook.com. The Connect Google and app-password options appear for everyone, but they only work for those accounts. Choose Connect Microsoft to sign in with a work, school or personal Microsoft account. Jasper asks Microsoft only to read your calendar, and a Microsoft calendar is read only here: change events in Outlook. iCloud and other calendar servers can't be connected.
Until a calendar is connected, the desktop calendar shows the Connect your calendar form instead of a calendar, and you can't create events.
What the desktop calendar does once connected
- Views: Day, Week and Month, with Today, Previous and Next.
- Calendars panel: turn each calendar on or off, show Only one, or change its colour.
- Events: click or drag on the grid, or click New event. Add a title, guests, location and description, and choose Show as busy. Drag an event to move it or change its length. When you drag a repeating event, choose This event or This and following events; All events is offered only if it stays on the same day. Editing or deleting a repeating event from its details changes every occurrence.
- Invitations: answer Going? with Yes, No or Maybe.
- Video calls: Jasper finds Google Meet, Zoom, Microsoft Teams, Whereby and Webex links in an event and shows a join button. You can also add a Jasper call to an event.
- Meeting prep: ten minutes before a meeting, a reminder offers Meeting prep, with who is coming and your recent threads with them.
- Time: with time tracking on, click Start timer for this meeting, or Log time afterwards.
- Leave: your own approved leave shows as all-day events.
Jasper saves your changes to the connected calendar, and pulls in changes made elsewhere every 2 minutes.
Add work schedules on the web Team Calendar
The Team Calendar is part of time tracking, which is on team plans. Read the limits first: today, once the month or week on screen has a schedule in it, the page shows an error instead of the calendar.
- Open the Time menu and choose Team Calendar.
- Click Add Schedule. You need permission to create and manage team schedules.
- Choose the Team Member, the Date, and the Start Time and End Time.
- Choose a Shift Type: Regular, Overtime, On Call, PTO, Sick Leave or Holiday.
- Optionally pick a Project and add Notes, then click Create Schedule.
Use Weekly View, Compact or Detailed to change the layout.
Limits
- Only Google Workspace, Shakewell's own mail server and Microsoft 365 or Outlook.com calendars can be connected. Microsoft calendars are read only. There is no iCloud or general CalDAV support.
- The calendar is in the desktop app. There is no personal calendar on the web, though AI tools connected through the MCP server can read and change your events.
- There are no booking links and no "find a time" across colleagues.
- The Team Calendar doesn't show leave requests. Approved leave is on the Time Off Timeline. PTO and sick shifts on the Team Calendar are typed in by hand.
- Once a month or week has a schedule in it, the Team Calendar and Weekly View for that period show an error page instead of the calendar.
- On the Team Calendar, My Calendar and All both show the whole organisation, My Team is greyed out, and a schedule can't be edited or deleted once saved.
