Client Hub
One page per client with their contacts, agreement, engagements, retainers and hosting.
The Client Hub keeps what you know about each client in one profile. It uses the same client records as time tracking, so the hours your team logs on a client's projects show up against that client's engagements and retainers. The Client Hub is part of time tracking, which is on team plans.
Who can see and change what
- Anyone who can view time tracking can open the Client Hub from the main menu.
- Only owners and admins can add or change clients, contacts, agreements, engagements, retainers and hosting.
- Money fields (lifetime value, commercial value, retainer values and hosting fees) are hidden unless a person has the View revenue, margin and retainer values permission. It is given to named people, not to a role, so nobody has it automatically, not even an Owner. An owner grants it under Direct permissions on the roles and permissions page.
Add a client
- Open Client Hub. You land on the Client List.
- Click New Client.
- Enter the Client Name. It is the only required field. You can also add Company Name, Industry and Client Since, and, if you can see money fields, Lifetime Client Value.
- Click Create Client. New clients start as Active and External, and you land on their profile to add contacts and the rest.
Clients you already have in time tracking appear here without any extra step. The list shows Active clients until you change the filter. It filters by Status (Active, Prospective or Archived), Industry and Type (External or Internal; internal clients carry an Internal label). The Team column counts the people who logged time on the client's projects in the last 30 days, including anyone since made inactive or removed, and leaving out paid leave. You change a client's status from the list; everything else is edited on the profile. You can't archive a client while it has active projects.
The client profile
Click a client to open its profile. It is one page, in this order:
- Dashboard: status, client since, tenure, lifetime value, active engagements and retainers, the Primary Account Manager and Primary Project Manager, and the active team members of the last 30 days.
- Basic Information: name, company, type, industry, client since and notes. Click Edit to change them, along with the status, the two primary managers and, if you can see money fields, the lifetime value.
- Contacts
- Master Service Agreement
- Commercial Engagements
- Retainers (see Track retainer hours)
- Hosting Agreements
Add contacts
- In Contacts, click Add Contact (or Add First Contact).
- Fill in Name, Title / Role, Email (required) and Phone.
- Choose a Type: Primary, Finance or Other. The first contact must be Primary.
- Click Add Contact.
You can't remove the only Primary contact while the client has other contacts. Mark another contact as Primary first.
Record the master service agreement
- In Master Service Agreement, click Add MSA.
- Enter a Name, and choose a Status: Quoted, Active, Expired, Terminated or Lost/Declined.
- Add the Start Date, End Date and a Contract Link to where the signed copy lives.
- Click Add MSA.
Only one MSA can be Quoted or Active at a time. Ended agreements stay in the History list. Status changes are always manual: Jasper doesn't expire an MSA on its end date.
Add an engagement
- In Commercial Engagements, click Add Engagement.
- Enter a Name and pick a Pricing Model: Fixed Hours, Deliverable-Based or Time & Materials. It can't be changed later.
- Set the Status, Scoped Hours and Target Go-Live, and choose the Linked Project whose time counts toward it. A project can feed only one engagement or retainer.
- If the project was used for earlier work, set Count Hours From: time logged before that date doesn't count. Leave it blank to count all of the project's time.
- If you can see money fields, pick the currency and add the Commercial Value and, for Time & Materials, a Not-to-Exceed Budget and an Hourly Rate.
- Click Add Engagement.
Fixed Hours engagements show hours consumed against hours scoped. Time & Materials engagements show hours logged and, with an hourly rate, the spend (billable hours times the rate) against the not-to-exceed budget. Both count billable and non-billable time, but not paid leave. Engagements with a target go-live date show how many days are left, or how many days overdue. Deliverable-Based engagements have a list of deliverables: click + Add to add one with a status and an hours estimate.
To change the pricing model, click Supersede. You give the current engagement its final status, and a new engagement starts as Quoted with the new model, takes over the linked project, and counts hours from today.
Add a hosting agreement
- In Hosting Agreements, click Add Agreement.
- Enter a Name, Started On and a Contract Link, and, if you can see money fields, the currency and Monthly Fee.
- Click Add Agreement. To end it later, click Cancel on the agreement, then Cancel Agreement to confirm. Jasper records today's date and the agreement becomes read-only.
Hosting agreements are a flat monthly fee with no hours. Arrangements with a monthly hours allowance belong in retainers.
Client mail in the desktop app
In the desktop app, mail from a client's email domains files under that client in Mail. Until someone sets them, the domains come from the client's and its contacts' email addresses, or from a correspondent's domain that matches the client's name. To change them, open Mail, then Clients, open the client's menu and choose Edit email domains…. Only owners and admins can save the change.
Limits
- Clients can't log in. There is no client portal or shareable client link.
- The Client Hub doesn't send invoices, and contracts are links only: there is no e-signature.
- MSAs, engagements and retainers can't be deleted. Change their status instead.
- Money fields are in AUD, USD, NZD, GBP or EUR, with no conversion between them.
- Email domains for client mail can only be edited in the desktop app.
