Public holidays and leave time entries

Add your public holidays, and let Jasper fill holidays and approved leave into timesheets.

Public holidays matter in two places. Leave requests don't count them as working days, and the team timeline shows them. Jasper can also create time entries for holidays and approved leave, so nobody's week looks short. Owners and admins manage holidays from the Time Off Hub in the Time menu.

Add a public holiday

  1. In the Time Off Hub, open the Holidays tab.
  2. Click Add Holiday.
  3. Enter the Holiday Name and Date, and an optional Description.
  4. Tick Occurs Annually if it comes back every year. For a holiday on a set weekday, such as the King's Birthday in most Australian states, type a Recurring Rule like second monday of june. Leave the rule empty to use the same date each year.
  5. To fill in timesheets, tick Automatically Create Time Entries and choose the project under Allocate Time Entry To.
  6. With time entries on, you can limit the holiday to some people with Assign to Groups or Assign to Individual Members, for example a state holiday for one office. Leave both empty to apply it to everyone.
  7. Click Create Holiday.

The holiday list filters by group and by date range. Rules work for "first", "second", "third", "fourth", "fifth" or "last" weekday of a month. Holidays that follow the moon, such as Easter, need adding for each year with Occurs Annually left unticked.

How holiday time entries are made

Once a day, at 6 am UTC (late afternoon in Australia), Jasper creates a full-day time entry on the chosen project for each person the holiday applies to. It skips weekends. If you add a holiday dated today or up to 90 days in the past, Jasper fills in its entries straight away.

Turn approved leave into time entries

  1. Open the Policies tab and edit the leave policy.
  2. Under Time Entry Integration, tick Auto-create time entries for approved leave.
  3. Choose the Project for Time Entries, for example an internal "Leave" project.
  4. Click Update Policy.

From then on, when a request under that policy is approved, Jasper adds time entries for the leave days. It skips weekends and public holidays.

Limits

  • There is no button to import a country's holidays. Add each holiday by hand.
  • Holidays that follow the moon, such as Easter, need adding each year.
  • Cancelling approved leave doesn't remove the time entries already made for it, and you can't delete them by hand because Jasper saves them as approved.
  • Turning off time entries on a policy you're editing doesn't save. See the policy limits.
  • Time entries, and so leave and holidays, appear only when time tracking is on.
