Leave balances and the ledger

See what everyone has left, correct a balance with a reason, and keep every change on record.

Each person has a balance for each leave type. Accruals, approved leave and manual adjustments all go into a ledger, so you can see how a balance got to where it is. Everyone sees their own balance. People who approve or manage leave (stakeholders, admins and owners by default) see everyone's.

See balances

  1. Open the Time menu and choose Time Off Balance, or open the Balance tab in the Time Off Hub.
  2. Read the Opening Balance, Accrued, Used and Available columns for each person and leave type.
  3. Click View history to open the ledger for one person.

The Balance History page lists every change with its date, leave type, transaction, hours, the balance after it, notes and who recorded it. In the desktop app, your own balances show at the top of the Leave tab.

Add an opening balance or correct one

Use this when you move to Jasper from another system, or to fix a mistake.

  1. On the balance page, click Adjust next to the person and leave type.
  2. Choose the Adjustment Type: Add, Deduct or Set Balance.
  3. Enter the Amount in days or hours.
  4. Pick a Reason: Opening Balance Migration, Manual Correction, Leave Adjustment or Other. Add Notes (optional).
  5. Click Save Adjustment. The change appears in the person's balance history with your name.

Only people who manage leave (admins and owners by default) see Adjust.

Export balances to CSV

Click Export CSV on the balance page. You need permission to export time tracking data: stakeholders, admins and owners have it by default.

Limits

  • There is no CSV import for balances. Enter opening balances one at a time with Adjust.
  • The balance page and its CSV show days at 8 hours a day, even if your working day is longer or shorter. Adjust turns days into hours using the person's own working day.
  • People appear on the balance page, with Adjust, only once Jasper has a balance for them this leave year. On an Accrual Based policy that happens the night after they're assigned. On other policies it doesn't happen by itself.
  • Balances don't sync with payroll. For leave your payroll system tracks, use an Externally Managed policy.
