The problem it solves
Leave usually lives in email threads and a spreadsheet someone forgets to update. Jasper keeps requests, approvals and balances in the same place as your team's timesheets.
In a small agency, leave is a conversation and a spreadsheet. Across two or three offices it becomes a real job: several leave types, different public holidays in each country, balances that have to be right, and project plans that have to allow for who is away. Every day off also has to show in the timesheet, or the week looks short.
Jasper keeps requests, approvals, balances and public holidays beside the timesheets, so one record answers who is away, how much leave is left and why a week has fewer hours.
What it does
Requests
People request a full day or half a day (morning or afternoon) on the web or in the desktop app. Jasper works out the hours from the work week and public holidays: the desktop app shows them before you send the request, and the web shows them on the request once it is sent. They can cancel a request, including approved leave whose dates have already passed.
Approvals
Set a group of approvers and requests go to its members in turn. Without a group, requests go to your owners and admins, and any owner or admin can settle a request on their own. Approvers are notified and reminded, and the person hears the outcome. Approvers can decide in the desktop app too, with a note.
Leave types and policies
Create the leave types you need, such as annual, personal or study leave. A policy decides how each type is given:
- Accrual: leave builds up weekly, fortnightly, monthly, quarterly or yearly.
- External: Jasper keeps no balance, for leave your payroll system tracks.
A policy can stop accruals at a maximum balance. Assign policies to people or groups, and copy or archive them. Jasper adds accruals on a schedule, and at the start of each leave year carries every balance over in full.
Public holidays
Add each office's public holidays, including ones that repeat every year, and assign them to groups, so Sydney, London and New York each get their own list. Holidays count when leave hours are worked out.
Balances
Everyone sees their own balance. Admins see everyone's, add to or deduct from a balance with a reason, and see each person's balance history. Balances export to CSV.
The team timeline
See who is away by day, week or month, with approved and pending leave and public holidays together. Filter by group or status, or search for a person, and export the leave to CSV or iCal. Approved leave can also be posted to a Slack channel.
Leave in timesheets
Where a leave policy or public holiday is set up for it, approved leave and public holidays become time entries automatically, so short weeks aren't missing hours.
How agencies use it
Opening a new office
An operations manager adds a London group, enters the UK bank holidays for it, and gives it a monthly accrual policy with a maximum balance. People in London see their balance and request leave the same way as everyone else.
Before you commit to a deadline
A delivery lead checks the timeline for the project team's group across the next six weeks, sees pending requests as well as approved ones, and talks dates through with the client with that in front of them. Our capacity planning guide and leave-aware capacity planner turn that into available hours.
Month end
Approved leave has already become time entries, so timesheets are complete. The operations manager exports balances to CSV for payroll.
What it doesn't do yet
- Leave only appears when time tracking is switched on. Without it, the leave pages are hidden on the web and in the desktop app.
- Annual grants, carry-over limits and balance expiry aren't applied yet. A policy can record them, but at the start of each leave year every balance carries over in full.
- You can't set up manager-based or multi-step approval chains in settings, only a group of approvers.
- No import of public holidays or opening balances from a file yet. Add holidays by hand, and adjust each person's balance to set their opening figure.
- No payroll or HR system integration. An external policy only stops Jasper tracking a balance.
- Leave can't accrue as a percentage of hours worked, such as the UK's 12.07% method for people on irregular hours.
- The timeline exports an iCal file, not a live feed, and there is no two-way sync with other calendars.
- Work schedules don't show approved leave. They are on a separate page.
- No mobile app.
How it connects
Web: Requests, approvals, policies, holidays, balances and the timeline.
Desktop app (macOS, Windows and Linux): See your balance, request or cancel leave, and approve requests.
- Time tracking: approved leave and public holidays become time entries.
- Slack: post each approved request to one channel through an incoming webhook.
- CSV and iCal exports of the leave on the timeline, and CSV exports of balances.
- Desktop app: balances, requests and approvals.
- MCP server: check a balance, request leave or approve a request from an AI assistant.
